Service Corporation International (SCI) Administrative Assistant in San Francisco, California
Overview & Responsibilities:
We currently have a full time (8:30 – 5:00) opening for an Administrative Assistant at the San Francisco Columbarium in the Richmond neighborhood of San Francisco. The Columbarium is an historic building that provides cremation and funeral services to the San Francisco community. While our location houses a funeral home, the administrative assistant will work in the cemetery office, offering support to our team primarily with contract review, data entry, record keeping, and processing payments. If you are unfamiliar with a columbarium, google our location; we are not a traditional cemetery. We are a historic landmark in the city, hidden in the Richmond district, providing cremations and niches for interments.
In this role, you will be working with individual’s personal records and interment information. You must remain up to date through in company trainings on state and national laws for money handling, legal contracts, and interment record keeping procedures. You must have a strong attention to detail, as well as be very comfortable with computers especially Microsoft Word and Excel. As our San Francisco Columbarium is a small office, you must be comfortable performing job tasks outside of the typical duties. We are looking for someone who actively enjoys finding ways to improve our office and operations. They will assist with special projects, research, and resolving problems.
Staff Administrative Support
Files and maintains customer information for both new business and previous customers
Maintains office and facility supplies as well as fax machines, copiers and network printers.
Enters contract details into HMIS and maintains other related documents.
Copies, files, records documents and paperwork related to interment
Maintains cemetery card system for accuracy
Order plaques, memorials, and office supplies. Follows up to make sure orders meet deadlines
Assists in preparing and generating required reports
Processes accounts payable and other accounting support transactions
Maintains processes to ensure compliance with policies and procedures including SOX administration and audit
Trains others on policies, procedures and new company initiatives
Performs other duties as assigned
Management Administrative Support
General office duties include, but are not limited to:
Answers phones, giving information to callers or redirecting calls as appropriate
Helps plan and organize events
Responds to inquiries in writing and/or verbally
Other duties may include:
Assists on special projects and other duties as assigned by the management team
Pulls monthly reports from reporting site and creates spreadsheets for stack rankings and tracking of key performance indicators
Codes and scans of invoices
Coordinates Sarbanes Oxley compliance
Receives incoming telephone calls and assist callers with any questions or comments, direct calls to appropriate team members.
Maintains a friendly attitude offering assistance and guidance to all persons entering the location
Requirements & Qualifications:
- High school diploma or GED equivalent
- 3 - 5 years of experience working in a customer-focused and fast-paced professional environment.
Knowledge, Skills & Abilities:
Must be strong with computers, internet and word processing skills
Notary certification would be a plus
Must have good phone, e-mail, and letter writing etiquette
STRONG communicator. Follows up to make sure things are completed on time.
High level of compassion and integrity
Enjoys resolving problems and finding ways to run our office more efficiently.
Good at multi-tasking
Detail oriented and organized
Work with minimal supervision
Confidentiality when working with people’s personal records
Must be able to work Monday through Friday from 8 am to 5 pm
